SNAP SHOT OF THE DAILY DUTIES:
As an Office Assistant/Receptionist, you will be the first point of contact for our company. The Office Assistant/Receptionist duties include offering administrative support. You will welcome guests and greet people who visit the business and coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

To be successful as an Office Assistant/Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Ultimately, the Office Assistant/Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

Job Functions:

  • Work with and maintain customer data base (Infor Customer relationship management CRM Program)
  • Maintain office equipment, including but not limited to, phone system, copier and printers
  • Prepare special mailing and close-out packages
  • Process incoming and outgoing mail/correspondence
  • Maintain professional and technical knowledge by attending educational workshops and required software training courses
  • Assist the Office Supervisor/Labor Coordinator with the daily labor and operations job duties

Qualifications for the Office Assistant/Receptionist

  • 1-3 yrs. work experience as a Office Assistant/Receptionist or similar role
  • Experience with Sales Logix Program is a plus
  • Great Phone Etiquette — manage inbound and outbound customer calls in a professional manner
  • Be a Problem Solver— identify the problem/needs, clarify information, research issues and provide solutions
  • Proficient in Microsoft Office
  • Highly organized and have Interpersonal Skills
  • Ability to work independently or as an active member of a team
  • Comfortable multi-tasking and prioritizing tasks without guidance
  • Have an outgoing personality and customer attitude
